Is this a substitute for accounting software?
No, and it is important to be clear about that. This formats figures you already have into a readable statement. It does not track transactions, reconcile a bank feed, handle double-entry or produce anything an auditor would accept as a book of record. Use it for a summary, not as your accounts.
What is the difference between profit and cash?
Profit is revenue earned minus costs incurred; cash is what is actually in the account. A profitable business can still run out of money if customers pay late, which is why lenders look at cash flow alongside a profit and loss statement. This template covers the latter only.
What period should I report on?
Match whatever you are being asked for, most commonly a month, a quarter or a financial year. Be consistent about whether figures are stated including or excluding sales tax, and say which on the document, since mixing the two is the fastest way to make a statement unusable.
Can I use this for a tax return?
Treat it as working papers rather than a filing. Tax authorities have their own required formats and rules about what is deductible, which differ by jurisdiction and by business structure. Give this to your accountant as a summary; do not file it as though it were a return.
