What should an expense claim include?
The date, the category, a description of the business purpose, the amount, and the currency if you travelled. The business purpose is the field most often left thin and the one most likely to get a claim queried: 'client lunch' is weaker than 'lunch with Acme during contract review'.
Do I still need receipts?
Yes. This produces the summary, not the evidence. Most employers and tax authorities require the underlying receipts for anything above a small threshold, so keep them attached or filed alongside. A report without receipts is a claim, not a record.
How should I handle mileage?
As its own line with the distance and the rate per mile or kilometre, rather than folding it into a general travel line. Rates are usually set by your employer or the tax authority and change periodically, so state the rate you used on the report.
What about foreign currency?
Record what you actually paid in your home currency, taken from the card statement rather than a rate you looked up later, and note the original amount in the description. Statement figures include the conversion and any fee, which is what you were genuinely out of pocket.
